How to create an event with external registration

This article provides guidance on setting up external registration for an event and importing participants into the registrants list.

Registration for events on Tradewing can be done either directly on Tradewing or through an external website. If you choose to handle registration outside of Tradewing, you must manually or bulk import the list of registrants to keep track of your attendees.

 

1) Navigate to the association's admin site

 

2) Click Create an Event, and "Create a Simple Event"

3) Add all About section details, as you typically would.

4) Set your start date and time, with the time zone of the event location

5) Click here under Location to set your event location. Refer to this article for adding location to events.

6) Under Registration, click "Ticketed: People will have to register for a ticket to attend the event."

7) Click "Link to External Platform"

8) Click the "External Platform URL*" field and paste in the URL of your external event registration system

9) Click "Create Event" once all details have been added, such as Audience, Speakers, etc.

10) Click "View on Member Site" to see a draft view

13) To add external registrants to Tradewing, click "Registrants" and manually add individuals or import a registrant list

14) To import registrants, click "Add"

 

 

15) If there are only a few registrants to import, you can add them manually by clicking "Add Individual" and searching for the members you wish to include.

 

 

16) If you have many registrants to import, you can use Bulk Import for a faster process. Click the "Bulk Import."

 

 

16) Instructions will be displayed once you click "Instructions." Click "Download Template". A CSV File will be downloaded into your desktop. 

 

 

17) Open the CSV file in Google Sheets or Excel. To register users in Tradewing, you must provide the Ticket External ID, Username, or User Email. This information helps identify existing users and create new accounts.

If no record is found for the provided identifier, a new account will be created. For users without existing accounts, be sure to include their first and last names; otherwise, the account cannot be created. Note that new accounts will default to 'non-members.' You can update their membership status later in their profile.

 

 

18) After filling out the necessary details, download the CSV file. Proceed by clicking "Add".

19) Click "Bulk Import"

 

 

20) Click on "Add" and then "Upload CSV File." If you have attendees who are not registered on the Tradewing platform, they will need to create accounts in order to join the event. Enable the option to automatically create new accounts for any records that do not match an existing Tradewing account using the unique identifier.

 

 

21) Click "Start Import" to finalize adding attendees.
