This article provides an overview of the events you can organize on Tradewing and instructions on how to configure the necessary settings for each event type.
Audience SettingsTypes of Events
Tradewing provides associations with the capability to host events directly on the platform. This functionality is frequently utilized by organizations to facilitate meetings and conferences, ensuring that members receive timely notifications and can register with ease. There are two categories of events that can be organized.
1. Simple Events are ideal for single-session meetings and gatherings. We recommend utilizing this format for monthly meetings, one-day workshops, or similar occasions.
2. Conferences are tailored for events that involve multiple sessions, which can be arranged to occur at the same time or in succession. This format is particularly suited for larger gatherings, and administrators can opt to include sponsor booths for added engagement. We suggest utilizing this setup for various occasions such as industry conferences, trade shows and expos, academic conferences, and summits.
Location Settings
Events can either be held in-person, online, or both online and in-person.
- In-person events require administrators to specify the venue's location where the event will occur. They can also provide essential details, such as room numbers and directions, to assist attendees in finding their way to the venue.
- Online events can be hosted using either pre-recorded videos or by connecting to external platforms such as Zoom, Google Meet, or YouTube Live.
When opting for a pre-recorded video, you have the choice to either link to an existing video or upload a video file directly to Tradewing. If you decide to choose the Link to Video option, you will need to provide a URL where the video is uploaded. This option is commonly used for streaming on platforms such as Youtube, Vimeo, or any other website-hosted video platform.
On the other hand, you also have the option to choose Upload Video File where you will need to upload the video of the event on Tradewing. This option is used for MP4 Files.
Linking to an external platform allows admins to direct attendees to the specific website or URL where the live event will take place. This option is particularly useful for events hosted on streaming platforms such as Zoom or Google Meet. Additionally, administrators can provide security measures such as passwords or dial-in information to ensure that members can easily access the event.
- In-person & online events are those that take place simultaneously at a physical location and in a virtual format. This hybrid option allows participants to choose their preferred mode of attendance, providing flexibility and accessibility for all attendees. This format is ideal for events that take place in-person while also allowing for video recording to enable online streaming.
Location details can be modified even after the event is published, allowing administrators to keep all information accurate and up-to-date for attendees.
Registration Settings
Open Registration
Event registration can be set up in two ways: open or ticketed. With open registration, members can attend the event without any associated fees, making it accessible for all to participate. They simply need to click the RSVP button to confirm their attendance at the event.
Ticketed events require attendees to complete a registration process to participate. This format is ideal for events where you wish to charge members for access. However, you have the flexibility to set ticket prices to zero, making the event free of charge if that is your preference.
If you choose to manage registrations through Tradewing, you will need to create different ticket types for members to select from. This approach is recommended if your event offers various access levels, such as General Admission, Professional, and Student tickets. Additionally, it allows you to provide discounts for specific ticket categories, such as early bird pricing, and enables you to monitor attendance across different participant groups.
Note: Tradewing does not yet solve purchasing multiple different items during the ticket checkout flow. For instance, if a member wants to purchase a student ticket and then purchase dinner, these would need to be set up as two different tickets.
Student Membership - $60
Student Membership + Dinner - $90 ticket
Alternatively, if you choose to link to an external platform for ticketing, the registration process will be managed outside of Tradewing. In this case, administrators will need to provide the URL of the external ticketing platform.
For online events created on Tradewing, guests who register on the external ticketing platform must be manually added to the Registrants list on Tradewing.
Audience Settings
As an administrator, you have the ability to customize the settings that determine who can discover and participate in your event.
- Anyone refers to individuals who possess the event link, granting them the ability to discover and join the event. This option is ideal if you wish to allow participation from people outside your association.
- Members of Specific Groups pertain to individuals who belong to designated groups within Tradewing. This setting is ideal for events intended solely for specific audience segments, ensuring that only members of those selected groups can view and participate in the event.
- Any Logged-in User refers to individuals who have registered for an account on Tradewing but do not have membership status. This setting allows these users to discover and participate in events, expanding access to those who may not be official members of your association.
- Users with Member Status refers to individuals who are currently active members of the association. This setting is ideal for events that you wish to keep exclusive to your association's members, ensuring that only they can view and participate in the event.
- Specific People allows you to select particular individuals whom you wish to attend your event. This feature enables you to handpick attendees directly from the list of current members within your association, ensuring a tailored and exclusive participant experience.
