Hosting an event within the Tradewing platform offers a unique and streamlined experience for both organizers and participants. The platform’s integrated video conferencing feature ensures a seamless connection, allowing for smooth communication and engagement throughout the event. This feature is designed with a variety of functional, user-friendly tools that enhance the overall experience—whether it’s live discussions, file/document sharing or virtual networking opportunities.

By hosting and attending your event within Tradewing, you not only provide a central hub for your attendees but also take advantage of advanced features that simplify participation and interaction. In this article, we’ll explore these features in greater detail, demonstrating how Tradewing’s video conferencing capabilities can elevate your event.

 

Joining an Event

 

1) You can easily discover upcoming events in your association's community feed. When a post is created, it is automatically transformed into an event post, appearing in real-time for your convenience. To find events that are currently ongoing, simply scroll to the top of your community feed, where they are prominently featured in the "Happening Now" section.

 

 

2) You can also explore a comprehensive list of both upcoming and past events by navigating to the Events tab.

 

 

3) After you have chosen your desired event, simply click the Join Now button to access the event's meeting page.

 

 

Note: The Join Now button will be accessible only during the event's scheduled time.

 

4) Upon clicking the Join Now button, a pop-up will display the event location details, indicating that the event is hosted on Tradewing. To proceed, click the Join on Tradewing button, which will direct you to the event meeting room.

 

 

5) Once you have successfully joined the event, you will see the event's title displayed prominently. Just beneath the title, you will find a button labeled "Join Meeting," which you can click to enter the meeting room.

 

 

6) Once you join the meeting, you will have the opportunity to adjust your microphone, speaker, camera, and background settings to ensure an optimal experience. Additionally, you can view a preview of your camera and modify the display name that will appear during the meeting. When you are satisfied with your settings, simply click the Join Room button to enter the meeting room.

 

 

7) Once you have finalized your settings and successfully joined the room, you will be able to view yourself along with other meeting participants in the meeting room, resembling the layout illustrated in the accompanying image below.

 

 

Key Features of Video Meeting Functionality

 

1) To customize the layout of the video tiles, simply click on the Layout button. You will encounter two options: "Grid" and "Sidebar." The Grid option presents a uniform arrangement of equally-sized video tiles positioned side by side. This format is best for group discussions where all participants are easily visible.

 

 

2) While the Sidebar option features one prominent video tile alongside smaller tiles displayed in a sidebar format. This layout is fit for listening to a speaker in the group to emphasize your focus on one speaker within the group.

 

 

3) All participants have the opportunity to share their screen during the event. To initiate this, simply click on the Share button located between the Video button and the More button. You will be presented with options to select the specific tab, window, or screen that you wish to share with the other attendees. After making your selection, click on the Share button to proceed.

 

 

Note: To share audio effectively, be sure to enable the option by toggling on the radio button that indicates "Share Tab Audio."

 

Additionally, the share screen option is only available on the web version. If you are using your tablet, iPad, or mobile device, this button will appear as "switch camera".

 

4) Virtual backgrounds can enhance your meeting experience on Tradewing. To customize your virtual background, simply click on the More button located between the Share and Leave buttons.

 

 

5) When you click on the Virtual Background option, a menu will appear on the right-hand side, allowing you to customize your video background. You can choose to blur your background for a cleaner look, select from a variety of pre-uploaded virtual backgrounds, or even upload your own unique background. After making your selection and ensuring it meets your preferences, simply click the apply button to save your changes.

 

 

6) To view a comprehensive list of the participants currently engaged in the meeting, simply click on the People button located in the upper-right corner of the screen.

 

 

7) If you would like to communicate with all event participants, you can utilize the public chat feature to engage with everyone in the session.

 

 

8) You have the option to send private messages to individual participants by navigating to the private chat tab and selecting the desired participant. Please note that these private conversations are confidential and will only be visible to you and the selected participant, ensuring privacy from the other attendees in the event.

 

 

9) If you wish to share photos or file attachments during the event, simply click on the clip icon. This will allow you to browse through your computer files and select the document you wish to attach.

 

 

10) To adjust your camera, microphone, or speaker settings during the event, simply click on the gear icon. This will open your device settings, allowing you to select your preferred device. Additionally, you can modify your displayed name at any time throughout the event for better personalization.

 

 

11) To enlarge the video tile of a specific participant for a better view, simply click on their tile, then select the three-button option located at the bottom-right corner and choose "View in Large." Additionally, if you would like to send a private message to that participant, you can do so by selecting the "Message Privately" option, providing a convenient way to communicate directly with them.

 

 

12) In the course of meetings, it is common for some participants to experience freezing or audio issues, which may be attributed to variations in internet connection stability. To monitor each participant's network quality, simply hover your cursor over the wifi icon located in the upper-right corner of their video tile.

 

 

13) Finally, to leave a meeting, click on the Leave button at the bottom of the screen.

 

 

14) A confirmation pop-up will be displayed to verify your intention, ensuring that you have not inadvertently clicked the Leave button before proceeding to exit the meeting room.
