The Membership Renewal Configuration feature allows administrators to control when memberships renew and how members are billed when they join mid-cycle.

This feature supports flexible renewal anchors (monthly, quarterly, yearly, or custom), along with proration and grace period options for both full payments and monthly installments. It is specifically designed for associations that align renewals to fixed periods, such as a fiscal year, calendar year start, or custom dates.

  • Define renewal schedules (billing anchors)

  • Configure pro-rated or grace period behavior

  • Control how billing behaves when a member joins before the renewal date

  • Ensure renewal logic aligns with your organization’s billing model

 

Understanding Renewal Conditions

Renewal conditions define how and when a member’s term aligns to your chosen billing schedule. Each option below offers a different way to anchor renewals so memberships stay in sync with your fiscal calendar, program cycles, or other fixed periods.

1. N/A
  • No automatic renewal.

  • Membership runs for the full term from purchase date.

2. Beginning of Month
  • Renews on the 1st of the next applicable month.

3. Beginning of Quarter
  • Renews on:

    • January 1

    • April 1

    • July 1

    • October 1

4. Beginning of Year
  • Renews on January 1 of the following year.

5. Custom Date
  • Admin selects a specific month and day (e.g., April 15).


Configuring Renewal Schedule

1. Go to your Membership Type settings, then either create a new membership type or open an existing one to configure it. Fill out the necessary information.

 

 

2. Under the Price and Payments section, select how renewals should occur.

 

3. Admins can enable one of the following renewal behaviors:

 

Option What Happens
Pro-Rated Member pays only for the time between purchase and renewal date. Renewal price is charged on the anchor date.
Grace Period (Full Payment) Member pays full price upfront but receives free access until renewal date. Paid term begins on renewal date.
Grace Period (Monthly Installment) Member gets access immediately. Billing begins on renewal date with monthly charges.
None Member pays full price immediately. Membership runs from purchase date.

 

How It Works 

Below are simplified examples using a yearly renewal anchor.

Example 1: Pro-Rated + Beginning of Year

Purchase Date: November 6
Renewal Anchor: January 1

  • Member pays a pro-rated amount for Nov 6 → Dec 31

  • On January 1, renewal price is charged

  • Membership runs Jan 1 → Dec 31

 

Example 2: Grace Period (Full Payment) + Beginning of Year

Purchase Date: November 6

  • Member pays full membership price immediately

  • Free access until Dec 31

  • Paid term runs Jan 1 → Dec 31

Example 3: No Grace, No Pro-Rating

  • Member pays full price

  • Membership runs 12 months from purchase date

 

Short-Term Validity Example (8-Month Membership)

This feature also supports non-12-month terms.

Example:

  • Validity: 8 months

  • Renewal: Beginning of Month

  • Purchase: March 10

If Pro-Rated is enabled:

  • Member pays pro-rated amount March 10 → March 31

  • Renewal occurs April 1

  • Membership runs April 1 → November 30 (8 months)

 

Important Reminders

The system automatically handles:

Invalid Dates

  • Blocks impossible dates (Feb 30, Apr 31)

Leap Years

  • Feb 29 adjusts to Feb 28 in non-leap years

Grace Period Limits

  • Grace period cannot exceed renewal interval

Custom Date Before Purchase

  • Rolls forward to next applicable renewal


Mid-Cycle Configuration Changes

  • Changes apply only to future renewals

Purchase on Renewal Date

  • Renewal price is charged immediately

  • No pro-rate or grace applies

Monthly Installments

  • No pro-ration or grace period if the monthly installment is enabled
  • The full monthly installment price will be charged to the user
